Just outside Salzburg, Zentrum für Visionen opened its doors in late 2023. Spanning 4.200 square meters it’s far from your standard event location. This venue has it all with three public halls, six seminar and meeting rooms, rooftop terraces, and a separate swimming pool, restaurant, and hotel. From corporate gatherings to yoga retreats, car presentations, concerts, and even cabaret, Zentrum für Visionen is designed to host it all.

“We want people to feel at ease here,” event manager Elisabeth explains. It’s a feeling they work hard to create for every event. But with so many spaces to manage, plus their second venue B10 Altstadt in Salzburg’s city center, the team needed a solid foundation to keep everything running smoothly. That’s where MICE came in. “There are a lot of different tools out there,” Elisabeth says. “But we already work with our own catering and technical partners. We didn’t want a system that does everything. We wanted one that shows all our spaces and events clearly in one place.”

Starting fresh and fast
In the first month, they worked with Outlook calendars and Excel sheets. But they quickly found that this was just taking more time. “Creating one proposal could take us up to 30 minutes,” Elisabeth recalls. “And then you still had to email back and forth, add tasks manually, and keep chasing updates. It didn’t fit our fast way of working.”
Since switching to MICE, all work happens in one system. “Now, sending a complete proposal takes just five minutes, sending it included!” Elisabeth says. “It’s easier for us and clearer for clients. They get a quicker reply and see what’s possible right away.”

Tasks, deposits, updates, handover — it’s all organised in one easy flow. “We used to set Outlook reminders for every little thing,” Elisabeth says. “Now MICE takes care of our tasks. It gives us structure, without the stress.”
And because everyone works in the same system, internal communication runs much smoother as well. Team members can easily pick up where others left off. Different user roles make sure everyone has the right access, tailored to their tasks. For external partners like catering and technicians, monthly forecasts are shared. They know exactly which events are coming, so they can prepare in advance. 'No extra calls, no searching through emails, everything just works better,' says Elisabeth.

Ready for whatever’s coming
Elisabeth looks forward to growing both locations and making her daily work easier with MICE. She likes the regular updates that keep improving the software. “Every month or two we get new features that help improve our work and the time we spend on our event planning,” she says.
